This page explains how ERPKaro handles customer data when optional AI features are used. It should be read together with the Data & Security page and Privacy Policy.

1. AI features are opt-in

ERPKaro AI features are used only when a customer enables or intentionally uses them. Customers can choose whether AI-assisted workflows are appropriate for their organization and data handling requirements.

2. Customer data is not used to train ERPKaro models

ERPKaro does not use customer data to train ERPKaro-owned AI models. AI features are provided to help customers perform selected actions inside the platform, not to build or train models from customer business data.

3. Use of OpenAI and Anthropic

When a customer uses an AI feature, relevant prompts, instructions, and context may be sent to OpenAI or Anthropic to generate the requested output. The provider used may depend on the feature, configuration, and customer agreement.

Provider processing is governed by the applicable provider terms, data controls, retention settings, and commercial configuration. Customers may ask ERPKaro for additional details during security or procurement review.

4. Data minimization

AI requests should include only the information needed to complete the selected action. ERPKaro aims to send relevant context rather than unnecessary customer records, and customers should avoid submitting sensitive information that is not needed for the requested AI output.

5. Customer controls and review

Customers decide whether to use AI features and should review AI-generated outputs before using them in operational, financial, compliance, or customer-facing workflows. AI outputs may require human review, correction, or approval.
