Account Deletion

This page explains how an ERPKaro customer can request deletion of their account and the data associated with it. Because ERPKaro is an ERP system that stores business-critical information such as accounting records, inventory, payroll, customers, vendors, and transaction history, account deletion is not an instant, self-service action. It is a coordinated process that requires verification, authorization, and a controlled data-purge workflow.
Once a valid deletion request is received and verified, complete removal of all associated data from active systems, backups, and replicas can take up to 90 days.
1. How to request account deletion
To initiate an account deletion, send an email to our support team with the following details:
- To: support@erpkaro.com
- Subject line: “Account Deletion”
- Body: your registered organisational email address and the phone number linked to the account, along with a clear statement that you wish to permanently delete your ERPKaro account.
Using the exact subject line “Account Deletion” helps us route the request to the right team without delay.
2. Verification and coordination
After we receive your request, the ERPKaro team will coordinate with you over email or phone to confirm the request and to verify that it is being made by the account owner or an authorised representative of the organisation. This step is critical because ERP data is shared across users, departments, and external integrations, and accidental or unauthorised deletion can cause significant business loss.
We may ask for additional information to validate ownership, such as billing details, an authorisation letter on company letterhead, or confirmation from an authorised signatory. Requests that cannot be verified will not be processed.
3. The deletion process
Once the request is verified and confirmed, the following steps are carried out:
- Access to the account is disabled so that no further data is written.
- Active integrations, API tokens, and scheduled jobs associated with the account are revoked.
- Account data is removed or anonymised from the production database and active application systems.
- Data is then purged from read replicas, search indexes, caches, file storage, and analytics pipelines.
- Finally, data is removed from rolling encrypted backups as those backups age out of the retention window.
4. Deletion timeline
Removal from active systems typically completes within a few business days of verification. Full purge across all backups, replicas, and disaster-recovery systems can take up to 90 days from the date the request is confirmed. The timeline may extend if verification is incomplete, if the account is part of an active organisation subscription, or if data retention is required by applicable law.
5. Information that may be retained
Even after deletion, ERPKaro may retain a limited set of records where necessary to comply with applicable laws and regulations, including statutory accounting, taxation, GST, and audit retention requirements. We may also retain minimal records to maintain security and audit logs, resolve disputes, prevent fraud or misuse, complete billing reconciliation, or enforce our agreements. Any such retained data is access-restricted and is not used for any other purpose.
6. Export your data before deletion
We strongly recommend that you export and save copies of any business-critical data, including invoices, ledgers, payroll records, and tax filings, before requesting account deletion. Once the deletion process begins, the data cannot be recovered.
